Executive Meeting Notes for May 17, 2013

Present: Aimée Morrison, Jon Saklofske, Michael Sinatra, Susan Brown, Stéfan Sinclair, Dan O’Donnell

  • Congress 2014 Planning:
    • Michael’s in touch with John Bonnett about local planning in Brock
    • Jon has accepted to chair 2015
  • Dan is probably still trying to get Linux started 😉
  • we will postpone announcement and advertising in University Affairs
  • possible change to constitution at AGM for voting procedures
    • enough people not present that electronic voting would be good
    • electronic voting would be a bit more formal
    • Michael will draft ammedments to constitution
    • we need to keep exploring about how to make AGM not boring
  • journal update (Dan):
    • special issue from Aimée & Brent reviewed
    • special issue from Stan & Susan in progress
    • Michael will send translated abstracts
    • looking at publishing data
    • trying to get some French content, we brainstormed on people to approach
    • journal indexing may happen through combined efforts with other journals in the incubator
  • nominations committee (Michael on behalf of Brent):
    • three names for three positions, possibility of acclamation
      • pres: Susan Brown
      • vp: Dean Irvine
      • member-at-large: Jon Saklofske
    • constitution doesn’t allow nominations from the floor at AGM
    • slate confirmed by exec
  • how to make AGM more interesting?
    • maybe combine with poster session? we don’t want to shorten poster session
    • 45-minute AGM with Federation, report, constitutional change
  • IGEM model (Dan): sounds really great but the scope would be daunting
  • Mentoring lunch (Aimée): coming together great, interest from students and participants set
  • logistics for invited talks (awards): we need to make it clear in the future that people are taking care of their own travel
  • archiving of past conferences: let’s try to compile past programs (send any programs to Stéfan)
  • unsure of banquet numbers and what that means for our reservations
    • we will look at subsidizing students, maybe in connection with workshop and encourage last-minute joiners
